Account & Data Deletion

1. How to request deletion

You can delete your CrawlSense account and the personal data associated with it in any of these ways:

  • From the mobile app: open the app → Profile tab → Delete account. You will be redirected to the web confirmation page where you must sign in and confirm.
  • From the web app: sign in at crawlsense.ai/loginProfileDelete account. Confirmation requires re-typing your email.
  • By email: write to support@crawlsense.ai with the subject line "Delete my account" from the email address registered on your account. We will confirm receipt within 48 hours.

You do not need to provide a reason. We may ask a single verification question to confirm you own the account.

2. What data is deleted

When your deletion request is processed, the following data is permanently removed from production systems:

  • Your user profile (name, email address, password hash, profile picture).
  • OAuth connections to Google, Apple, GitHub and any third-party identity provider linked to your account.
  • Active sessions, refresh tokens, mobile push (FCM) tokens, and 2FA backup codes.
  • Organizations where you are the sole admin, along with every site, crawl, ranking record, audit log, AI Insight, web vitals snapshot and feedback item inside them.
  • Search Console / Analytics / Bing Webmaster OAuth tokens granted to CrawlSense from your account; we revoke them server-side before deletion.
  • Your membership in any organization where you are not the sole admin. The organization itself and its data remain, owned by the other admin(s).
  • Stripe customer record associated with your account, where legally permitted (see retention below).

3. What data we are required to retain

Some records must be kept for a defined period due to legal, tax, or security obligations:

  • Invoices and payment records: retained for 7 years as required by Spanish tax law (Ley 58/2003, General Tributaria, art. 70). These are pseudonymised — your name and tax ID appear on each invoice, but no other behavioural data is linked.
  • Aggregated, anonymised usage analytics: retained indefinitely. Once your account is deleted these records carry no identifier that can be traced back to you.
  • Security and abuse-prevention logs: retained for 90 days after deletion. These logs (failed logins, suspicious activity) reference an IP / pseudonymous user id only; the personal identifier is severed from your account record at deletion time.
  • Off-site encrypted backups: may temporarily contain residual copies of your data for up to 60 days after deletion. Backups are not used for restoration of deleted accounts and are overwritten on the standard rotation schedule.

4. Timeline

  • Immediately upon confirmation: your account is disabled. You can no longer sign in, the mobile app is signed out, and your data is removed from active queries.
  • Within 30 days: production databases hard-delete your records. We hold for 30 days so that accidental deletions can be reversed by emailing support@crawlsense.ai within that window.
  • Within 60 days: off-site backups containing your data have rotated out.

5. Partial deletion (without closing your account)

If you only want to delete some data — for example a specific site or crawl — without closing your account:

  • A single site (and its crawls, rankings, insights): Web app → Sites → site row → Delete site.
  • A single crawl run: Web app → Crawls → row → Delete.
  • A linked Google / Apple OAuth connection without closing the account: Web app → Profile → Connected accountsDisconnect.
  • Anything not listed above: email support@crawlsense.ai describing what you would like removed.
